Patient Care Coordinator – Fargo

Job Summary: 

At Total Skin Dermatology and Aesthetics, we’re redefining how skin health and beauty work together. We’re seeking a professional, compassionate, and organized Patient Care Coordinator (PCC) to join our team. The PCC plays a vital role in ensuring a seamless patient experience by coordinating clinic preparation, managing front desk responsibilities, assist with administrative and billing tasks, supporting providers, and offering excellent customer service. This position serves as a liaison between patients, providers, and the clinical team to help facilitate high-quality, patient-centered care. 

Key Responsibilities: 

  • Welcome patients and their families with professionalism and warmth in person and over the phone. 
  • Field incoming phone calls, triage messages to appropriate staff, and follow practice communication standards. 
  • Prepare for clinic visits by reviewing patient charts, verifying insurance is in accepted and active, confirming appointment attendance, and ensuring EMRs are complete and accurate. 
  • Check patients in upon arrival: verify and update demographics, confirm insurance, present required forms, and obtain necessary signatures. 
  • Collect and post co-payments and outstanding account balances accurately. 
  • Check patients out: collect payments, schedule follow-up visits with the appropriate provider and visit type, and educate on membership and rewards programs. 
  • Manage patient appointment scheduling, referrals, lab coordination, and order processing. 
  • Accurately collect, post, and reconcile co-payments, outstanding balances, and product/service sales; handle cash drawer balancing and follow clinic protocols for payment processing and financial confidentiality. 
  • Accurately document interactions, updates, and communications in the EMR system. 
  • Educate patients on services, skincare products, and conditions using available resources and handouts. 
  • Gain knowledge of and promote skincare product sales. 
  • Maintain front desk supplies and clinic cleanliness, including assisting with opening/closing duties, laundry, and sanitization. 
  • Participate in team-based care by supporting the clinical and provider teams as needed. 
  • Demonstrate an understanding of and follow infection control, safety, and clinic compliance standards. 
  • Travel to outreach clinics and assist during events, including evenings and weekends when needed. 
  • Support training of new staff members and contribute to a positive, team-oriented work culture. 
  • Provide care and communication with a compassionate and respectful approach to both patients and coworkers. 
  • Perform other duties as assigned to meet the needs of the clinic and organization. 

 

Requirements: 

  • 1+ years of customer service experience, preferably in a healthcare or medical office setting. 
  • Familiar with general office technology and Microsoft programs. 
  • Strong communication, multitasking, and organizational skills. 
  • Friendly, professional demeanor with a passion for patient care and service. 
  • Comfortable working in a fast-paced environment with the ability to prioritize tasks. 
  • Willingness to work occasional evenings/weekends for events. 
  • Willingness to travel to other clinic locations as needed. 
  • Ability to learn and communicate details about skincare products and dermatology services. 
  • Must be a trustworthy and honest individual with a strong sense of integrity.  

Preferred Skills: 

  • Prior experience in dermatology, aesthetics, or medical spa environments. 
  • Experience handling point-of-sale systems and daily cash reconciliation. 
  • Strong sales skills with the ability to educate and guide patients toward recommended products and services. 
  • Knowledge of skincare products and cosmetic treatments 
  • Experience coordinating patient insurance benefits, authorizations, or referrals. 
  • Comfort with multitasking and staying organized in a high-volume clinical setting. 
  • Understanding of HIPAA and confidentiality in a healthcare setting.
